We aim to provide efficient and effective service and take any problems that do arise very seriously indeed to ensure that any problems our customers may have are identified quickly and dealt with in accordance with our customer comment/feedback handling procedure.

If you have cause for comment during your visit to Waterfall Spa we request that, in the first instance, you raise any issues with the Duty Manager of Waterfall Spa on the day of your visit. We take all issues raised extremely seriously; by communicating your dissatisfaction at the time of your visit it gives us an opportunity to resolve your concern effectively and efficiently that day. In the unlikely event that we are unable to resolve the issue on the day we request that you put your comments in writing for the attention of Customer Services Department and send to:

We will investigate your feedback in accordance with an internal written procedure which involves:

• acknowledging any feedback and responding in full within 14 days or, if that is not possible, letting you know within that time when we will be able to respond fully
• carrying out a full review of your comments
• responding to you with our views on your comments and how we propose to resolve it

Bookings
All bookings must be paid for 30 days in advance of your visit. For bookings made within 30 days of arrival payment must be received at the point of booking, in order to guarantee the reservation.

Treatment Times and Scheduling

We require all treatment hours to be booked prior to your visit so that we can plan your day in advance.

All of your treatments are scheduled for specific times in the day to allow you to make the most of our facilities and maximize your spa experience. Your treatment times will be confirmed to you in your day pack when you check in on arrival.

Please Note: It is the client's responsibility to be ready for their treatment at the allocated time. Waterfall Spa or Ebac Ltd can not be held responsible for any delays the client experiences in getting to the spa and if a client misses their treatment appointment due to arriving late and after their specified check-in time, then Waterfall Spa can not guarantee being able to re-schedule their treatment. Where possible, we will always try to re-schedule any missed treatments, however, this will depend on the capacity on the day and the client may face losing their treatment without a refund.

Cancellation and Refunds

24 hours notice must be given to change the date of a booking without penalty. Changes to redemption dates made within the period of 24 hours of the booking shall attract a postponement fee of up to 50% of the cost of the package/treatment. If the new date for the booking falls outside any existing validity period, it is up to the discretion of Waterfall Spa if the booking will be validated or not.

Changing a booked date amounts to a cancellation, so once your booking has been made you may incur cancellation charges if you have to re-book. Waterfall cannot be held responsible for instances where treatments are either shortened or cancelled as a result of late arrival; in these instances no refund will be given.

Sometimes we have to cancel a booking for reasons beyond our control, such as building restrictions. We will do our best to notify you as soon as possible and will do everything we can to offer you an alternative date or time. We regret that, in these circumstances, Waterfall cannot offer a refund on any expenses you may incur in relation to the cancelled booking.

A full refund will be offered for any cancellation requests received at least 24 hours in advance of your arrival. Failure to notify Waterfall of a cancellation will result in no refund being offered. Refunds are always made to the person who made the booking, if originally purchased by credit or debit card, the refund will be credited to the same card. If the card has expired you will need to request a refund in writing, quoting details of a new card.

If the booking has been made directly from a Waterfall Spa, a refund can only be obtained by returning to the place of booking, together with the corresponding till receipt or confirmation email from Waterfall.

For corporate accounts: If you wish to cancel a booking, change the date of a booking [or remove a person/persons from a group booking] from a reservation 14 days prior to the date of the booking, we shall provide a full refund in the payment method used to pay for your treatment/package. Where we receive at least 24 hours notice of a cancellation or change of the booking in advance of the visit date, the corporate account will be left in credit for the booking to be rescheduled for another date.

Refunds or re-bookings will not be made where cancellation is due to:

• Pregnancy and childbirth if delivery is expected within 3 months of the date of the booking
• The existence of any condition or set of circumstances or aggravation of any disability, condition or illness which originated prior to the date of booking the treatment/ facility and which has required medical treatment within 6 months of the date of the booking

Validity and Refund of Gift Cards

Waterfall Gift Cards contain a monetary amount that can be redeemed against anything from Waterfall Spa including spa packages, treatments and products. Gift Cards may be exchanged for goods of a higher price than the card balance on payment of the difference. If you do not spend the entire card amount then the remaining balance will be updated after each transaction for future purchases. The balance cannot be topped up or exchanged for cash or credit.

Unless otherwise stated, Gift Cards and Gift Vouchers are valid 12 months from purchase or 12 months from the last transaction. Some promotional spa packages and treatments purchased on a Gift Card or Gift Voucher may have a specific booking or "visit by" deadline - in which case the Gift Card or Voucher may expire before 12 months from purchase - in such cases the expiry date will be clearly communicated on the receipt you receive with the Gift Card.

Any remaining balance on your Gift Card or Voucher will be cancelled on expiry of the validity period. Gift Cards should not be treated as cash. Please Note: that Gift Cards or Vouchers can not be refunded in return for cash or products. In the event of a customer wanting to exchange the contents of the Gift Card i.e. any specific spa package or treatment that the Card was purchased for, then the Gift Card will be changed to another Gift Card or Voucher at the same or lower monetary amount, however, this will be at the discretion of Waterfall Spa and the expiry date will remain the same to the original Gift Card purchased.

Waterfall Spa will not be liable for lost, damaged or stolen cards and cards cannot be replaced. How to Use: Cards can be redeemed via telephone sales and online purchases (quoting the 16 digit serial number and security pin) and for in-spa transactions by handing the card over on payment. General

We reserve the right to make changes to our website, policies, and to make amendments and/ or modifications to these Terms and Conditions of Use and Access of the Website at any time which will take effect immediately. You will be subject to the terms and conditions in force at the time that you use the Website or that you order goods from us, unless any change to these conditions is required to be made by law or government authority (in which case it will apply to orders previously placed by you). If you breach these conditions and we take no action, we will still be entitled to use our rights and remedies in any other situation where you breach these conditions.
